Administrative duties have become very important in order to keep a business afloat in this time of recession. Good leadership and keeping a tight grip on all administrative operations is the key to a successful company. Even if you have a great idea and it catches on really quick ensuring long term success can only be done by making sure that all administrative duties are handled correctly and on time. So here is my advice to help you with all things administrative.
1. Make sure there is a procedure for every operation. One of the most important administrative duties is to make sure there is a procedure for any sort of problem or operation that can arise. You should not let employees handle any type of situation as they see fit, because if everybody does it their own way, there will be chaos, and you won’t be able to keep track of everything that is happening. Of course having a procedure for every operation takes a lot of time and effort but it will definitely be worth it in the long run.
2. Make sure that everybody knows and respects the procedures. This is complementary to the first point I made. It would be useless to try to devise all the procedures if they are not followed. So it is vital that you make sure that everybody is aware how important their administrative duties are. You should never let anybody cut corners no matter their rank when it comes to respecting procedures.
3. Try to level out the work flow. It is inevitable that you will have some periods when administrative duties will swamp your team and others when they will have a lot of free time. I believe that you should make an effort in order to keep a regular amount of administrative work. Don’t let old projects back you up because they weren’t done on time. Think ahead and the rewards will be great.
4. You have to be very strict when it comes to the administrative duties. If the information that gets written isn’t rigorously checked it could turn out to cost the company time and money. If one part of the chain of the administrative tasks fails, than the whole situation may spiral out of control. For example if part of your administrative duties include handling money, than if you put an extra zero in a form, that could turn out to cost the company immensely.
5. Have a checklist. This is very important if you want to make sure you haven’t forgotten anything. This is especially helpful for people whose administrative duties include logistic work. You need to have a list of everything you need to take care of for the event. Don’t think that anything is too stupid to write down because that will probably be the one thing you forget. This is for me probably one of the best tips I ever got, and it helps me keep track of everything even when there seems like there is no end to the things you need to be aware of.
6. Attention to detail is important. Usually most employees consider administrative duties as unimportant and do it at the end of the program when they are hurrying to get home. It is important that all the administrative paperwork gets done with the utmost attention to detail. So a key point for a successful company is to have a team leader that is very strict with all the paperwork that needs to get done.
7. You should have people skills. Although it doesn’t seem that important to have people skills when it comes to filling out paperwork I have learned form experience that it is vital. You would be surprised at how much time is wasted because of people who don’t know how to communicate with other people. Administrative duties include giving and receiving information, so there is a constant interaction between people. If this communication is faulty than the whole company will suffer.
So this is some advice that I have learned first hand. Administrative duties are usually considered as the most unimportant, monotonous, and time consuming part of the job for almost any employee. But administrative duties are essential to a smooth running business. This is the backbone of every business and without it, you could have the greatest idea in the world, and your company still will inevitably go broke. So the best advice I can give is to make sure you value administrative duties to their true significance.
